Short answers to the 20 questions people ask most about time cards and timesheets. US rules are federal (FLSA) unless stated; your state or country may differ.

Questions and answers

How do I calculate my hours with a lunch break?

Subtract your start time from your end time, then subtract the unpaid lunch. 8:00 AM to 5:00 PM is 9 hours; minus a 30-minute lunch it is 8 hours 30 minutes, or 8.5 hours.

Do I have to take a lunch break?

US federal law does not require lunch or coffee breaks. Some states do, and so do many employer policies. Check your state labor office or your handbook.

Are short breaks paid?

Under US federal rules, short breaks of about 5 to 20 minutes are paid and count as hours worked, including for overtime. A bona fide meal break of 30 minutes or more, when you are fully relieved of duty, is usually unpaid.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 15 minutes is 0.25, 30 minutes is 0.5 and 45 minutes is 0.75. So 7 hours 45 minutes is 7.75 hours.

Why is 7:30 not 7.3 hours?

Because an hour has 60 minutes, not 100. 30 minutes is half an hour, so 7:30 is 7.5 hours. Writing 7.3 underpays you 12 minutes.

What does time and a half mean?

Pay at 1.5 times your regular rate. At $20.00 an hour, time and a half is $30.00 an hour.

When do I get overtime?

Under the US federal FLSA, non-exempt employees get at least time and a half for hours worked over 40 in a workweek. Some states and contracts add daily overtime.

What is the difference between weekly and daily overtime?

Weekly overtime counts hours over a weekly limit, such as 40. Daily overtime counts hours over a daily limit, such as 8. Where both apply, hours already paid as daily overtime should not be counted again for the weekly limit.

How many hours is full time?

The FLSA does not define full-time or part-time work; the Department of Labor says it is generally up to the employer. A 40-hour week is 2,080 hours over 52 weeks.

What is the 7-minute rule?

It is quarter-hour rounding: a punch within 7 minutes of a quarter hour rounds to it, and 8 minutes or more rounds to the next one. Federal rules allow rounding to 5, 6 or 15 minutes only if, over time, employees are fully paid for the time they work.

Can my employer round my time?

Under US federal rules (29 CFR 785.48), rounding to the nearest 5 minutes, tenth or quarter hour is accepted if it does not, over time, underpay employees. Always rounding down is not.

How do I record a shift that goes past midnight?

Write the shift on the day it started. On this site, an end time the same as or earlier than the start time is treated as the next day: 10:00 PM to 6:00 AM is 8 hours.

What is the difference between biweekly and semi-monthly pay?

Biweekly is every two weeks, which is 26 pay periods in most years. Semi-monthly is twice a month, 24 pay periods a year. Overtime is still worked out per workweek in both cases.

Can overtime be averaged over two weeks?

Not under the FLSA. Each workweek stands alone, so a 45-hour week has 5 overtime hours even if the next week is 35 hours.

Does PTO count toward overtime?

Not under federal rules. Pay for vacation, holidays and sick days is not pay for hours worked, so it does not count toward the 40. Your employer may count it by policy.

Do I get overtime for working on a holiday or weekend?

Not automatically under federal law. Those hours earn overtime only if they take you over 40 in the workweek, unless your employer or state pays more.

How long should time cards be kept?

The US Department of Labor says employers should keep time cards for at least 2 years and payroll records for at least 3 years.

Where is my data stored on this site?

Only in your browser on this device (localStorage). There are no accounts and nothing is sent to a server. Clearing your browser data deletes it, so download a backup from the time card page.

Can I use the calculator for more than one job?

Yes. Create up to 10 profiles, each with its own name, rate, currency, overtime rule, week start and days.

Does the calculator work out taxes?

No. It estimates gross pay only. It does not calculate tax, withholding or take-home pay.
